The Project Assistant supports the administrative tasks, helping to minimize the task work done by Project Coordinator, Estimator and Superintendent.
Responsibilities
- Provide clerical /administrative support to group, including paper and electronic filing of information including expense reports, document filing/records management, typing correspondence, distribution of mail, preparation of shipping documentation, forms, memoranda, technical reports, billing details, timesheets minutes, and other data from dictation, handwritten notes, or own notes, etc.
- Use various software applications for the purpose of preparation of spreadsheets, graphs, charts, presentations, processing correspondence and other written material
- Documenting field records for quality, production, labor, and materials.
- Assisting with inventory and tracking time sheets, costs, and quantities.
- Assisting with schedules and monitoring performance.
- Other various administrative duties as required or directed by direct supervisor or manager
Skills and Abilities
- Strong time management and organizational skills with an ability to be adaptable, manage multiple priorities and work in a fast-paced environment
- Able to communicate clearly and effectively, both verbally and in writing
- Ability to establish and maintain working relationships with stakeholders including supervisors and subtrade partners.
- Working knowledge of Microsoft Office Suite with a strong aptitude for adopting new technology.
- Excellent MS Excel skills
- Strong analysis, problem solving and decision-making skills
- Knowledge of OH&S Acts and Legislation
Qualifications
- Highschool diploma plus 1 year project administrative support experience
- Technical degree or diploma is an asset
- Formal project or construction management training is an asset
