Human Resources, Health, Safety and Environment (HRHSE) is looking for a proactive, energetic, solutions focused candidate to join our team! It is an exciting time in HRHSE as we move through our Service Excellence Transition (SET). Our Directors are busy working on many new projects and initiatives and will be looking to this role to provide ongoing support to many projects in addition to support with their day to day operations.

This role provides comprehensive administrative support to a portfolio of Directors and their respective teams within HRHSE. The position will report to the Director, Well-being, Culture and Rewards, however will also provide direct support to the directors within their assigned portfolio with items such as calendar management, scheduling, monitoring deadlines, preparation of briefing materials, drafting documents, minute taking and other related duties as needed to support the effective operations of each Director's team.

As a support to a portfolio of Directors, your duties will include the following:

  • Conducting research and creating reports on various topics based on the needs of the director and their unit
  • Reading and analyzing incoming memos, submissions, and distributing them as needed
  • Coordinating retreats and other staff meetings as needed
  • Assisting in developing office processes for improved workflow
  • Providing sophisticated calendar management
  • Prepare agendas and other meeting materials (pre and post meeting) - including meeting minutes
  • Reviewing documents for consistency, flow and accuracy
  • Document preparation and formatting; draft letters, memos, briefing notes, presentations etc.
  • Providing individualized support based on the needs of the director or their unit
  • other support as needed

In addition to comprehensive administrative support for Directors, this role will work with other administrative support roles within HRHSE on operational effectiveness tasks. Operational effectiveness tasks include, but are not limited to; onboarding and offboarding, facilities management, managing and overseeing IT equipment and records management.

  • A willingness to take initiative and proactively plan work
  • Strong verbal and written communication skills
  • Ability to problem solve and adapt quickly to changing priorities
  • Ability to work with sensitive and confidential materials and maintain a high level of confidentiality
  • Ability to work independently with minimal supervision and perform tasks accurately with attention to detail as well as be a positive team player and ability to work collaboratively

To be successful in this role, you will have the following qualifications and experience:

  • Office administration certificate or diploma combined with relevant administrative support experience
  • Significant experience supporting senior leaders with a proven track record for attention to detail
  • Excellent computer proficiency using Microsoft Office and Google applications
  • Experience working with human resources documents and an understanding of collective agreements or past experience working in a unionized environment is considered an asset.
