We are looking for an Administrative Assistant to join us in the exciting work we do in Engineering Team. Reporting to the Manager, Engineering, it'll be your responsibility to and provides complex administrative support to the Engineering Team. In this position, you also get to also carry out supportive tasks that contribute to the general efficiency of the department.

What You Get To Do:

  • Leader Support
  • Support the assigned Senior Leader(s) day-to-day administrative requirements including managing calendars, meetings, e-mails, travels, approvals, and communications.
  • Provide administrative support for the leader's initiatives.
  • Department Support
  • Directly support the Engineering department's administrative requirements including coordinating travel, reconciling purchase orders and invoices, entering expenses, managing time allocations, communicating key updates, and organizing team events and training.
  • Coordinate with the field admin team to support cross-department coverage, promote knowledge sharing and ensure alignment across the Operations and Engineering team.
  • Act as a member of the broader administrative team providing backup support and contributing to company-wide administrative initiatives as required.
  • Reports & Dashboards
  • Interpret data, consolidate information, and compile reports, dashboard and/or presentations.
  • General
  • Represent the team by participating and/or leading committees, cross functions project teams and initiatives as required.

Who You Are:

  • Minimum of a post-secondary education in Business Administration
  • Minimum of 5 years' experience in an administrative support role
  • Experience in performing administrative functions for senior levels
  • Leadership (formal or informal) experience would be considered an asset
  • Strong organizational, prioritization and time management skills
  • Strong competency in Microsoft suite of software with knowledge in modern reporting and dashboarding software (e.g. Power BI) an asset
  • Fully understands what information requires confidential treatment and acts accordingly
  • Demonstrated understanding of operational areas and key contacts/roles to ensure smooth issues escalation and resolution
  • Demonstrated ability to function independently, take initiative and function with a high degree of professionalism
  • Well-developed interpersonal and communication skills
  • Demonstrated resourcefulness and the ability to work as an effective team member
  • Ability to prioritize conflicting demands
  • Ability to work within a fast-paced environment while remaining flexible and steadfast
