Location
Work occurs in Edmonton with significant activities in partner regions (BC, MB, NS). This role includes extensive remote work.
Position Summary
TREC is a pan-Canadian and international longitudinal health services and knowledge translation program of applied research. It is multi-disciplinary with a large team of researchers from 8 universities, core decision makers, and trainees. We have long standing and key relationships with stakeholders, end users, policy makers and our citizen advisory group and maintain a cohort of 94 nursing homes and an extensive and unique database. The Field Coordinator is responsible for coordinating the "field requirements" of TREC research projects that involve data collection and/or intervention implementation in the residential Long-Term Care (LTC) sector. The incumbent will support recruitment, implementation timing, and feedback activities in participating sites. They will facilitate the hiring and will supervise regional coordinators and data collectors as needed, in consultation with the PI, Manager and HR Partner. They will be responsible for ensuring that relevant policies, protocols and operational approvals are current and that records are properly managed.
Relationship development and sustainment is a critical component of this position's responsibilities. This includes establishing and maintaining relationships with regional stakeholders at provincial and regional levels, and in particular, with facilities and their staff. This position will cover all regions and provinces in which these requirements are present.
While the incumbent will work closely with the PI, Manager and TREC team or teams as needed, this is a position requiring a high degree of independence, flexibility, proactivity, and initiative. It will involve travel and time in the field to carry out project activities, problem-solve issues, maintain quality data collection and generally manage the team and projects. The incumbent will be the first line of contact for field issues. When field work is active, hours may vary widely. The incumbent will be required to have a high degree of flexibility and ability to work autonomously while still ensuring strong communication within the team as necessary.
The field coordinator will also advance the broader objectives of the Translating Research in Elder Care (TREC) team. They will work under the direction of the Scientific Director and the Senior Manager for TREC.
Duties
Core Functions:
- Develop, monitor, maintain and update detailed project timelines and deliverables, ensuring targets are achieved.
- Facilitate implementation of TREC projects in the regions and facilities.
- Recruit facilities (nursing homes) and individual participants as required.
- Maintain strong relationships and communication channels with participating sites, owner/operators and regions.
- Ensure that regular communication is maintained at all participating facilities in the regions and respond in a timely way to all issues and queries from the facilities.
- Understand and advise on the adaption of study protocols to reflect the requirements of the regional environment.
- Ensure compliance with funding guidelines and policies.
- Monitor facilities to identify any risks which may affect a facility's ability to participate in the Program (for example, turnover of key personnel).
- Participate in the design and delivery of dissemination products
- Complete all required project reports.
- Assist in the preparation of ethics applications, publications, posters, presentations, technical and dissemination reports, and briefings for governments.
Fieldwork Activities – Data Collection:
- Schedule and monitor interviews at facilities.
- Monitor and run the data collection activities.
- With appropriate consultation, correct and revise data collection protocols and tools between data collections waves.
- Train, supervise and support regional coordinators, data collectors and other field staff as designated, supporting them with constructive performance feedback.
- Ensure that quality control procedures are adhered to and the highest quality data are
- collected. Debrief staff as needed, monitor data performance (remediating as needed) as set out in TREC's CAPI-QA protocols.
- Problem-solve 'on the fly', escalating issues as appropriate.
- Trouble-shoot issues arising during data collection.
- Develop and implement a strategy to engage the participating facilities between data collections or studies.
Fieldwork Activities – Feedback Activities:
- Lead in designing feedback activities that meet needs of end users and stakeholders.
- Work collectively with members of the TREC team to develop and deliver facility-specific feedback, staff feedback and feedback to regions and government.
Administrative Support:
- Support and facilitate recruitment activity, participate in hiring, and train data collectors and regional coordinators.
- Supervise data collectors and regional coordinators, including performance appraisal and performance management.
- Develop and monitor budgets related to field work
- Compile and submit financial reports as required
Other:
- Attend training sessions, team meetings and annual meetings virtually and held in regions and in Edmonton.

Minimum Qualifications
- A master's degree in nursing or a health-related discipline, PhD preferred
- A health background or comparable health work experience
- Experience in the LTC sector
- Valid driver's license required as travel to sites across the health regions is required
Experience and Skills Required
- Five years of field experience in the LTC sector
- Five years of successful project coordination experience with multiple and complex studies
- Successful experience in all aspects of HR (hiring, interviewing, supervision, performance appraisal and management)
- Outstanding, demonstrated communication (oral and written) and interpersonal skills
- Demonstrated ability to work effectively and constructively in a team
- Demonstrated ability to work independently
- Demonstrated ability to interact constructively with members of the public and with health professionals is essential
- High level of organizational skills
- High degree of computer proficiency with MS Office applications (Word, Excel, PowerPoint).
- Must have experience with in-person and virtual data collection, for example, structured interviews.
- Demonstrated ability to work within a complex environment with multiple stakeholder relationships and projects
- Detail oriented with strong problem solving and documentation skills
