Word Processing (70%)
- Format a range of small and large, complex documents using Microsoft Word
- Edit and proofread documents for spelling, grammar and consistency
- Manage deadlines and coordinate the review and completion of deliverables with the project team
- Work with proposal submission managers to coordinate, organize, and complete professional, high-quality proposals from initiation through to production and delivery
- Complete document production, including photocopying, scanning, binding and compiling pdf files
- Overall quality checks and reviews of documents, ensuring adherence to the company's Quality Management System
Administrative Assistance (27%)
- Manage the switchboard, boardroom bookings and meeting arrangements, mail and courier arrangements, and other administrative related activities
- General office maintenance and organization, including meeting rooms, coffee area, and other common spaces
- Manage the flow and approval of accounts payable invoices throughout the office and liaising with the Finance department to ensure timely processing
- Maintain the office filing system
- Order and maintain office supplies
- Assist with setting up individual offices and workstations
- Arrange travel and accommodations for staff
- Organize office social activities and events
- Assist with other administrative duties as assigned and contribute as part of the administrative team to fulfill the variety of tasks necessary to run the office effectively
Learning and Development (3%)
- A commitment to self-development and ongoing learning and professional development.
- Three to five years' office administration related experience
- A certificate or diploma in an administration related field of study is considered an asset
- Advanced skills in Microsoft Word and experience with document formatting
- Excellent attention to detail, a high regard for accuracy, and the ability to provide high quality outputs
- Experience using PDF editing software to create and edit files is considered an asset
- Professional verbal and written communication skills
- Demonstrate strong interpersonal skills, a positive "can-do" attitude, and the ability to provide an enthusiastic, problem-solving presence in the office
- Time management skills and the ability to prioritize work effectively to meet tight deadlines and adapt to changing workload demands
- Experience in a Professional Services consulting firm (engineering / environmental / planning) is considered an asset
