The Opportunity

Employment Type:Permanent Full Time Hours of Work: 8:00 am to 4:00 pm Wages: Commensurate with Education & Experience

Role Summary:
Reporting to the Director of Mission, Ethics, Research, and Reconciliation (MERR) the Administrative Assistant (AA) will support 2-3 assigned Directors and will deliver a wide variety of administrative support. The AA has a proven ability to work independently, screen and prioritize communication, meet deadlines, and has the ability to make decisions by anticipating needs. This role requires coordination of confidential and sensitive internal and external communications, the management of complex events, and relationship development with internal and external stakeholders. Key Accountabilities:

Performs general office duties on a daily basis e.g. supply ordering, screening incoming calls, photocopying, filing etc.
Screens and ensures confidential management of mail and other communications for the assigned Directors.
Prepares and edits documents required by the assigned Directors.
Assists with distribution and communication of policies, procedures and directives to ensure consistency across the organization.
Supports calendar management by scheduling performance reviews, 1:1 meetings, departmental and committee meetings etc.
Facilitates travel requirements as needed.
Records meeting minutes, prepares and circulates agendas and minutes for committees and management meetings.
Assists with the preparation of documents, communications and presentations, including formatting, collating and proofreading.
Assists the assigned Directors with timely submission of new hire onboarding documentation.
Submits required documentation for incremental changes, access requirements, and equipment requests.
Assists the assigned Directors with onboarding of new employees.
Oversees departmental office supplies and circulates and codes billing prior to submission to finance.
Assists with completion, review, and submission of expense claims to appropriate departments.
Establishes and maintains departmental office files.
Assists with hosting functions for assigned Directors e.g. room booking, catering, and required equipment.
Facilitates the collection, collation and submission of reporting information for assigned Directors, head office departments, and other internal/external stakeholders.
Facilitate administrative requirements related to human resource processes including recruitment and attendance management.
Demonstrates dependability by reporting to work on time and as scheduled
Other duties as assigned by the assigned Directors within the role and scope of this position.

Requirements:
Office administration diploma or equivalent
Self-identify as an Indigenous person (preferred)
A minimum of two (2) years business office experience
Proven experience working with a high degree of independence
Experience working in health care preferred
Equivalent combination of education and experience may be considered
Demonstrates a high degree of proficiency working with sensitive and confidential information
Excellent working knowledge of computer applications including Microsoft Office Suite
General knowledge of office equipment related to the duties of the position
Strong interpersonal skills with an ability to deal effectively with conflict in a diplomatic and professional manner
Proficient with written and oral communication
Exhibits open and sincere approach to relating to people by demonstrating respect and compassion for everyone equally
Maintains an individual's dignity and self-worth during conversations
Excellent active listening skills
Ability to travel when necessary
Occasional work after regular hours in order to meet the demands of the job
Able to multi-task in a constant high energy environment while responding to complex priorities
Capable of balancing office tasks with people responsibilities
Valid driver's license
A current and clear Criminal Records Check Form and Clearance Letter prior to the hire date.
A tuberculosis screening that has been completed no more than 12 months prior to the hire date. COVID-19 Immunization Requirements
