Due to the retirement of a long serving employee Yellowhead County is looking to fill the following position.
Planning Administrative Assistant
Reporting to the Manager of Planning and Development Services, the Planning Administrative Assistant is responsible for providing all administrative support services for the Planning Department.
Position Responsibilities
Planning and Development
The Planning & Development component is the primary component of this position.
Preparation of correspondence.
Research of various topics as directed by the department Manager.
Maintains Planning department electronic and paper files.
Responds to preliminary public inquiries regarding land management, development and subdivision issues.
Maintains ledgers of development permits, subdivision applications and other planning related items.
Prepares statistical reports at the request of the department Manager or Director.
Prepares advertising for planning related items.
Obtains Land Titles and adjacent owner reports.
Submits correspondence for the issuance of Land Titles documentation.
Assists all department staff with the distribution of documents and decisions including referrals to outside agencies and adjacent landowners.
Assists with the maintenance of the County held land register for use in land management.
Maintains County lease files and record of same.
Attendance and participation at department meetings.
Records Management
The Records Management component is the secondary component of this position.
Maintain the electronic filing system in the Yellowhead County database.
Maintain the hard copy filing system.
Assist with annual or special records destruction as required.
Land Management
Maintains County lease and license files, manages lease data base, ensures lease/license reviews occur prior to end dates, makes internal recommendations on renewal or termination process.
Drafts Council Requests for Decisions for expired leases subject to possible renew, and new leases requiring Council approval.
Addressing System
Assist the Planning Subdivision Officer with maintaining the rural and hamlet addressing system.
Administer the fees for addressing applications.
Interdepartmental Assistance
Assist other County departments with requests for planning related information.
Minimum Qualifications
Education/Skills
Post-secondary education in Land Use Planning, Office Administration, or equivalent.
One (1) year experience in a municipal or office administration setting.
Detail oriented/high attention to details.
Valid class 5 Drivers License.
Ability to manage multiple priorities and meet definitive deadlines.
Strong knowledge of Microsoft Office.
Ability to work independently and as a member of a team.
Ability to communicate with the public in a professional manner.
Preferred Qualifications
Education/Skills
Post-secondary training in Office Administration.
Post secondary training in Land Use Planning.
Experience In
Two or more years experience in a municipal planning department.
Working Environment
Work is conducted in an office environment with long periods at a desk.
The salary range is $56,930 to $72,065 per year. Yellowhead County offers a competitive benefit package.
